Systems Operations Manager

Job Purpose Summary: This role will own the day-to-day operations and strategic implementation of our CRM and connected systems, including POS, support, analytics, and integrations. As a key cross-functional contributor, you'll collaborate with internal teams and external consultants to ensure systems support our sales, marketing, customer experience, and operational goals. This is a high-impact, highly visible role that serves as the connective link between teams—ensuring our systems work seamlessly to deliver an exceptional customer journey and enable scalable growth.

As a newly created position, this role reflects our continued growth and the increasing importance of integrated, data-driven systems. Success in this position means building reliable, efficient technology processes that empower our teams to deliver exceptional customer experiences and make informed business decisions. It’s a rare opportunity to shape how Sarah O. Jewelry’s systems connect sales, marketing, and service from the ground up.

Salary: $95k - $115k (Depending on Experience)

Schedule: Monday - Friday

Location: Denver, CO, onsite with occasional travel to local stores

Reports To: Director of Customer Experience and Insights

  • CRM & Systems Management

    • Oversee a growing technology ecosystem serving approximately 40 users across departments

    • Serve as the primary administrator of our CRM, ensuring workflows, modules, and automations align with sales, service, and marketing processes

    • Maintain and optimize additional applications (Customer Service, Analytics, Invoicing, etc)

    • Partner with external consultants to scope, manage, and QA advanced configurations and integrations

  • Cross-System Integration, Maintenance & Sales Operations Support

    • Support integrations with key platforms including our POS, eCommerce, and email marketing tools

    • Troubleshoot issues related to data sync, reporting, and process gaps between systems

    • Serve as the primary point of contact for Retail Sales Team inquiries and issues

    • Maintain documentation of systems processes, integrations, and data flows

  • Reporting & Analytics

    • Collaborate with leadership and external analytics partners to define and track KPIs across sales, retail, and customer service

    • Develop dashboards and actionable reports by leveraging CRM and Business Intelligence tools

  • Project Management & Cross-Functional Collaboration

    • Translate business requirements into technical solutions by collaborating with stakeholders in Retail Sales, Marketing, Customer Experience, and Production

    • Manage multiple concurrent system projects, enhancements, and rollouts

    • Ensure systems are user-friendly and support training efforts in collaboration with the Retail Sales and LMS teams 

    • Operate with autonomy to design and implement system solutions while aligning with company-wide technology and data governance standards

  • Required Qualifications

    • 4–6+ years experience in CRM administration, business systems, or sales operations 

    • Proven experience managing or heavily using CRM and similar operational platforms (e.g., Zoho, Salesforce, Netsuite)

    • Understanding of system integrations across SaaS tools (CRM, POS, marketing automation, eCommerce)

    • Strong project management skills and ability to manage multiple priorities

    • Excellent cross-functional communication skills and ability to translate business needs into system requirements

    • Analytical mindset with strong attention to detail and problem-solving skills

    • Self-starter who thrives in a fast-paced, growth environment

    • Demonstrated professionalism, collaboration, and commitment to quality

    Preferred Qualifications

    • Experience in Retail, eCommerce, or other B2C industries

    • Hands-on experience with Zoho applications (CRM, Desk, Analytics, Books, etc.)

    • Familiarity with Lightspeed POS, Shopify, and Klaviyo integrations

    • Proficiency in Looker, Tableau, or Zoho Analytics for reporting and dashboards

    • Experience developing or documenting process improvements across teams

Content Manager

This position was created to support our expanding brand and content needs across digital channels. The Content Manager will lead Sarah O Jewelry’s content marketing efforts, playing a key role in shaping how we tell our brand story, connect with our audience, and drive both traffic and sales.

As Content Manager, you'll oversee content strategy and execution for email marketing, blog and SEO content, and social media. You'll work closely with our Marketing Director, Brand Marketing Manager, and external creative partners to bring campaigns to life. This is a great opportunity for someone who combines strong writing and storytelling skills with an analytical mindset and a passion for jewelry, fashion, and lifestyle content.

Salary Range: $80k - $95k

Content Strategy & Development

  • Own and manage an integrated content calendar across email, blog, SEO, and social media

  • Develop content that aligns with product launches, seasonal campaigns, and broader brand goals

  • Ensure consistency in voice, tone, and visual storytelling across all channels

  • Define and implement a strategy for when and how to authentically incorporate the founder’s voice into content, ensuring alignment with brand values and audience expectations

  • Collaborate with creative and production teams to promote products that are in stock, performing well, and aligned with customer demand and marketing goals

  • Manage the content marketing budget in collaboration with the Marketing Director, allocating spend across external vendors, influencer partnerships, paid tools, and creative resources

  • Track content-related expenses and ensure projects stay within budget while maximizing impact and ROI

  • Evaluate the cost-effectiveness of content partnerships and tools, making recommendations for improvement or reallocation

Email Marketing (via Klaviyo)

  • Plan and work with partners to write, build, and schedule email campaigns focused on storytelling, product features, and promotions

  • Segment audiences and conduct A/B testing to optimize performance

  • Analyze campaign metrics and refine strategies based on insights

SEO & Blog Content

  • Oversee creation and optimization of blog content in alignment with SEO best practices

  • Collaborate with external SEO partners to improve search visibility and rankings

  • Track blog performance and continuously refine the content strategy based on performance data

Influencer & Partnership Management

  • Identify, build, and manage relationships with influencers and content creators who align with our brand values and aesthetic

  • Coordinate influencer campaigns to support product launches, promotions, and brand storytelling

  • Oversee content deliverables, usage rights, and performance metrics to ensure alignment with goals and ROI

Social Media Oversight

  • Manage and evolve our content strategy for platforms like Instagram, TikTok, and Pinterest

  • Plan and schedule content, working closely with the Brand Marketing Manager on visual assets and messaging

  • Prepare to mentor and lead a junior social media specialist as the team grows

Performance Monitoring & Reporting

  • Track KPIs related to traffic, engagement, acquisition, and revenue

  • Use data to identify opportunities for optimization and content innovation

  • Present key findings and content performance insights to the broader marketing team and senior leadership

What We’re Looking For

  • Bachelor's degree in marketing, journalism, public relations, communication, or related field

  • 5+ years of experience in content marketing, digital marketing, or related field

  • Excellent writing and editing skills with a keen eye for brand tone, storytelling, and detail

  • Proven ability to create strategic content plans and manage projects from concept to execution

  • Solid understanding of SEO principles and email marketing best practices

  • Familiarity with Shopify or social commerce tools (Meta Shop, Pinterest product pins)

  • Strong communication and collaboration skills; able to work cross-functionally with internal and external partners

  • Familiarity with Canva, basic photo/video editing, and short-form content (Reels, TikTok). Experience with HTML, Adobe Photoshop and other content creation tools is a plus.

  • Highly organized, proactive, and capable of managing multiple timelines and priorities in a fast-paced environment

  • Previous experience in a DTC, retail, jewelry, or fashion brand is a plus

Experiential Stylist

The Story We Wear is a new experiential retail concept by Sarah O. Jewelry. At The Story We Wear, you’ll blend creativity and customer service to deliver a uniquely interactive experience. You'll be a creative guide who works with customers to bring their personal stories to life through jewelry. As a Stylist, you will: 

  • Guide customers through our Gemstone Bar—a station where they handpick meaningful stones for rings, pendants, or bracelets.

  • Assist with Stacking Stations where customers layer personalized jewelry combinations.

  • Create permanent jewelry pieces by custom-fitting and welding chain styles onto the customer.

You'll combine the luxury service standards of Sarah O. with the interactive, creative energy of experiential retail, ensuring every customer leaves with a meaningful piece that tells their unique story.

Reports To: Manager of Store Performance and Operations

Salary: $19-$25/ hour depending on experience

Interactive Customer Experience

  • Guide customers through immersive jewelry creation and accessory personalization experiences, from initial concept to finished piece

  • Facilitate hands-on activities at the gemstone bar, helping customers select stones that resonate with their story

  • Demonstrate combinations and provide creative direction for personalized jewelry arrangements

  • Operate engraving equipment and provide design guidance for custom inscriptions

What You’ll Do

As Lead Experiential Stylist, you will blend creativity, leadership, and customer engagement to deliver a premium interactive experience. You’ll guide customers in crafting personalized jewelry stories while supporting the store team and operations to ensure seamless, luxury service. This role combines hands-on styling with leadership duties that empower the team and drive sales.

You’ll work closely with the Director and Manager of Store Performance and Operations to lead the sales floor, manage daily operations, and uphold Sarah O.’s high standards of customer care and brand storytelling.

Salary Range: $24 - $32/hour

Customer Experience & Sales Leadership

  • Lead by example in delivering immersive, personalized jewelry experiences, coaching Stylists in guiding customers through the Gemstone Bar, Stacking Stations, and permanent jewelry fittings

  • Engage customers and employees in storytelling, helping them craft meaningful pieces that reflect their narratives

  • Provide sales support, ensuring every customer receives world-class service and attention

  • Mentor and support Stylists, sharing best practices for sales techniques and creative consultation

  • Collaborate with the Director and Manager of Store Performance and Operations to track sales goals, motivate the team, and implement strategies for growth

Operational & Team Support

  • Lead daily store operations, including inventory management, visual merchandising, and administrative tasks

  • Manage scheduling and coverage to optimize staffing during high-traffic periods

Process Improvement & Reporting

  • Monitor customer feedback and sales data to identify opportunities for improving the in-store experience
